Shared spaces can be tough to control. With a bevy of personalities in every office, it can be a challenge to make sure that collaborative areas are well-maintained. It's not a one-man job, but a group organizational journey has to start with ground rules that are easy for everybody to follow.
- Set yourself up for success by laying out clear, obvious expectations for the whole organization. Create a task force to come up with an action plan and include employees with different needs, job functions, and organizational styles to make sure that the standards aren't too one-sided.
- There's nothing too obvious to label. Electronics, storage compartments, cables, and even furniture should be clearly marked with its intent and location. Especially in offices with multiple meeting spaces and conference rooms, label items that are wont to "walk away" with their location (and, while you're at it, name your touchdown spaces and conference rooms to make it easy to schedule and find meetings).
- Don't over-complicate things. It should be easy to determine what-goes-where when wrapping up a meeting so it's just as simple to find supplies during setup. Intuition and logic will prevail, making it easy to maintain collaborative spaces with minimal effort.
